Extend
Excel's Default Sort
by Scott Lindsay (16
January, 2009)
For many users of Excel the restricted default sort option can often
not provide the flexibility that is needed when performing complicated
data analysis tasks. A typical scenario involves transactional data
from a corporate sales system

The sample worksheet above is unsorted. Let's say you wanted to sort
the worksheet by Country, State, Suburb and then Load Date. With
Excel's default sort functionality you cannot perform that sort or any
sort that requires more than three (3) columns of data.
There is a simple solution to this problem, and it utilises the default
Excel sort functionality by performing mutiple sorts until the required
sort is acheived.
For the sample worksheet the following steps will acheive the required
sort. You can modify this approach to acheive any level of sorting in
your own worksheets.
Step 1 - If the
required sort is by Country, State, Suburb, Load Date. Begin by sorting
the worksheet by Load Date. Select your range and then Data ->
Sort, ensure your header row is not selected if you have one.

After this sort is completed the worksheet looks like...

Step 2 - Now to
complete the Sort, select your worksheet range and then Data -> Sort
for the remaining columns of data. The final worksheet in our sample
looks like...

The worksheet is now sorted by Country, State, Suburb and then within that, the Load Date is sorted in ascending order.

Note
: With the release of Office 2007, extended Sort functionality has been
provided and there is now no limit on the number of columns that can be
included to a Sort Range.
