Tracking
and Billing Time

Does your
business perform work for clients or customers ? Do you keep an
accurate record of the time spent by your staff as they work for those
clients and customers ? Do you know which clients and projects are the
most profitable for your business ?
Microsoft
Excel can offer a simple and cost effective solution to this problem.
In this months newsletter we introduce you to a Timesheet
workbook
that you can use in your business to more effectively and efficiently
track the time of your staff.
Click on the following link to download the sample Timesheet
Tracker workbook and save it to your workstation.
Timesheet
Data Entry
Open
the sample Timesheet Tracker
workbook and access the "Transactions" worksheet. This is where data is
entered to record and then track time spent on projects for clients.
The entry is relatively simple, the date is specified and then the
"Start Time" is entered in 24hr format (eg 8:30am is 8.50), then the
"End Time". The charge hours are automatically calcluated.

To
complete the time data entry the Activty and Client are selected from
drop down lists. To include additional time records for the same day a
new record is created repeating the steps above.
Create Summary Report
Now
to update the summary report
of Timesheet Data, simply access the "Summary" worksheet. Click once
onto the "Pivot Table Report" area shown below with an "X"
and then Right Click and select "Refresh Data". This will update the
Report and display all recorded time for a Project and the Activities
performed.

It
is possible to select filters for this report by Year, by Month and by
Week. It is also possible to select the report by Client and show only
the time recorded for that Client for the period.
Chart by Client by Project
Now
lets update and review a
key report that shows your timesheet data by Client and by Project.
Access the "Chart Hours Client by Project" and click inside the
existing Chart. Then from the "PivotChart" menu select "Refresh Data",
the report will be refreshed with the latest changes.

Create new Clients or Projects
To
create a new Client, Project or Activity access the "Legend" worksheet
and enter the new details in the tables provided. Following the update
you will be able to enter data for the new Project or Client.

Simple yet Effective Timesheets
With
this simple yet effective tool you will be able to ensure that every
minute spent by your staff is accounted for. With that information you
can determine which clients and projects are the most profitable for
your business.
