Timesheets using Excel Templates

Merry ChristmasLast month we demonstrated some of the FREE Excel Templates that are available for your use. This month we will focus on timesheeting using Excel as it is one of the most requested types of template that we receive from our customers.

Keeping track of time and effort for a business is a key aspect in determining profitability. A system and process to record and report on employees time is critical to that measurement. Excel provides some basic time recording templates that can be used by any business to help manage this process. Later in this newsletter I will provide a more advanced timesheet template that can be used not only to record time but also to report and analyse employee effort.

To access the standard templates pre-installed with Excel, select File -> New and then inside the New Workbook menu select Templates -> "On My Computer". Select the "Spreadsheet Solutions" tab to access the templates displayed below. For this newsletter we will focus on the Timecard template as it is something that all businesses need.

If you want to discover more FREE Excel Templates click on the "Templates on Office Online" button at the bottom of the dialog box to access hundreds of other templates.

Templates Available


Timecard Excel Template
Select the Timecard Template and then click OK, you will be presented with the Timecard ready for data entry. The employee can specify all the required information for the week and the type of work being completed. The template will automatically calculate the total hours for an activity or project and then the total hours for the period being measured.

Each employee would complete a separate Timecard and then a central consolidation of all Timecards would provide the total number of hours across the business for the specific activities. The basic Timecard template supplied with Excel does not provide this consolidation step. For this type functionality XLAutomation is currently developing an Enterprise Timesheet Solution which will provide for centralised consolidation of timesheet information and also reporting and billing features. Note: For those that are already using Excel 2007 the instructions above are similar although instead of accessing the templates through File -> New, you access the templates via the Start Button and then New.
