Clear Sample Shares for your Portfolio

Share Trade Tracker is supplied with a Sample Portfolio to provide you with a starting point for your own portfolio. After you have reviewed the Sample Portfolio, simply follow the steps below to clear the existing shares and start your own Portfolio for tracking.

All entry fields are highlighted in light blue on the "My Portfolio Transactions" worksheet. We need to clear all data within these fields in preparation for your own share purchases. Start by selecting the first Date and Security in the Stock Details section. Drag that selection down to the last value in the worksheet. Hit delete to remove those values.

Repeat that process for each column that is highlighted in light blue. Don't forget to delete the values in the Closed Trades section of the worksheet. You should now have a clear worksheet ready for entry.

Now for the last step we need to clear the Portfolio History which is stored and used to produce the Portfolio Dashboard. To clear this history simply click on the button "Clear Portfolio History" on the "Reference" worksheet.

Add New Shares for Tracking

To Add a new Share for Tracking click on the "Add New Share" button  provided in the "My Portfolio Transactions" worksheet. This will add a new record to the bottom of the existing Portfolio, ready for you to supply the Share details including Trade Date, Quantity and Purchase Price.

The Share Trade Tracker Pro allows for unlimited Shares to be included for tracking. The Shares must be included to the "My Portfolio Transactions" worksheet with no blank rows between Shares.

To ensure that the Portfolio Dashboard is updated you must provide values for each of the light blue coloured columns in the "My Portfolio Transactions" worksheet. These values are used to calculate the values within the portfolio and also to drive the routines that retrieve share prices. See the help video if you need more instruction on Adding new shares to the Share Trade Tracker.

The Share Trade Tracker Sample is restricted to only update Share Prices for the first 5 Shares in your portfolio. After that the current price is set to the Purchase price of the Share. If you need to track more than 5 Shares in your portfolio we recommend upgrading to Share Trade Tracker Pro.

What Security Codes are Valid ?

When adding new Shares for tracking to Share Trade Tracker you need to ensure that they are valid and recognised Security Codes. You can check this by accessing Yahoo Finance and entering the Security Code and Exchange into the Quotes entry box. If it returns a valid quote then it is a valid Security code and you can use it with Share Trade Tracker.

Share Trade Tracker has been setup to cater for Shares for all Exchanges. Simply include the the full description of the Security as entered on Yahoo to retrieve the Share code you are looking to track. For example to track BHP on the Australian Exchange include BHP.AX, to track BHP on the New York Stock Exchange include BHP with no suffix, to track BHP on the French Exhange include BHP.F

Tracking the Index

Included to the Share Trade Tracker is the ability to track and chart an Index in comparison to your Portfolio's performance. See the chart on the "Portfolio Dashboard" worksheet. Here the return shown in Yellow is your Portfolio and the return shown in Blue is the return of the All Ordinaries (ASX) index.

To setup the Index tracking you simply need to determine which Index is to be tracked. Go to Yahoo Index Codes and determine the Index Security Code that needs to be used when retrieving the Index value and then supply that value to the "Reference" worksheet.

Finally you need to include the Index Security Code to the cell on the "Reference" worksheet and also the starting value for the Index. This is used to compare the return to a starting date for the Portfolio.

Updating Share Prices

After including all your Stock Details you are ready to Update your Stock Prices This is achieved by simply clicking on the Update Stock Prices button on the "My Portfolio Transactions" worksheet Once you click on this button the list of Shares in the worksheet will be scanned and then used to retrieve the current Share Prices from Yahoo.

Note: The share prices retrieved are 20 minute delayed prices

Once you click the Update Share Prices button, the share prices are updated and the "Portfolio Dashboard" is also updated for the last prices and returns on your Portfolio.

During the Update process if any of your supplied Security Codes cannot be be retrieved then the Current Price will be set to $0 and displayed with a highlighted Yellow Cell. This is shown in the screenshot. In this case visit the Yahoo website and check that the Security Code you have included to your Portfolio returns a valid quote using the website. Most likely you will find that the Security Code is no longer working on Yahoo and you need to find the new or changed Security Code for the Share you are tracking. If it does return a valid quote then please contact our support team with the details as there maybe a problem with Share Trade Tracker.

A status message is displayed while the Share Prices are being retrieved. This gives you updated information on the progress of the share price updates. Once the share prices are updated the Total Time will be calculated and a Complete status will be displayed. Simply click on the Close button to cancel this status message and review the updated Share Prices.

Using the Dashboard

As part of Share Trade Tracker we have provided a starting point for a Portfolio Dashboard. On the worksheet "Portfolio Dashboard", six (6) Pivot Charts are shown that describe aspects of your Portfolios performance

1. Return on Open Positions by Purchased Month
This chart shows the return on all positions purchased in a given month within your portfolio

2. Return on Closed Positions by Sold Month
This chart shows the return on all positions sold in a given month within your portofolio

5. Open Position % Gain/Loss
This chart shows over time the % Gain/Loss for the Open Positions within your portfolio

6. Portfolio Closed Positions % Gain/Loss
This chart displays the Closed Position % Gain/Loss over time for the portfolio

7. Sold and Open % Gain/Loss compared to Index
This chart takes the combined Sold and Open % Gain/Loss for the portofolio and charts that against the selected Index that is being tracked.

8. Sold and Open % Gain/Loss with 5 day moving average
This chart takes the Sold and Open % Gain/Loss for the portfolio and charts a 5 day moving average for the return. This is provided to display a trend analysis.

These Pivot Charts are just the start, if you are an experienced Excel user the development of more charts based on the Portfolio History or the Portfolio Transactions is only limited by your imagination. If you have an idea for other useful charts let us know Contact Us and we may include it to a future version of the Share Trade Tracker

Selling Shares and Updating your Transactions

Similar to the tracking of new shares in the Portfolio the Share Trade Tracker provides functionality to track and record the Shares sold in your portfolio.

As a Share is sold from your Portfolio simply include the details for that Sale in the Light Blue coloured cells for that Share. The data required includes Date Sold, Sale Price and Brokerage. The remaining values are calculated automatically. The position is also removed from the Open Position list as soon as you enter a Date Sold for the Share.

Then the next time you use "Update Share Prices" the "Portfolio Dashboard" will be updated with the return for that Sold position.
