This Kitchen Design business had a standard job timeline that was split between the back office, workshop and installation activities. The problem was having to manually look for a suitable time slot for new jobs, and it was difficult to edit a job once it had been manually scheduled. This was time consuming and not efficient. There was also an issue with communication between the three departments, regarding resourcing and time allocations.

The solution was to automate the process of scheduling jobs, and create an easy to read calendar that showed all activities across the three departments for his staff to work from.

We developed an automated calculation of job activities based on existing jobs, upcoming holidays, and a set of specific rules for some activities that could only be scheduled for particular days of the week. If the date for an activity was changed the job was automatically rescheduled taking into account jobs already scheduled.

A series of reports were created to track jobs for completion, and the activities were transferred into the calendar, colour coded to show which activities were allocated to each department.

Considerable time was saved with the automation to calculate the next available time slot for a new job, and the ability to quickly re calculate, when time changes to activities take place. The team worked better together as a whole with the ability for everyone to quickly and easily see what has to be done, when, and by who. More efficient job tracking of jobs from start to completion dates. Reduction of double booking slots for activities, leading to a higher rate of deadlines achieved for clients.
